Privacy Policy — 90 Days Stronger

90 Days Stronger is a community wellness challenge operated by Asha Circle Association, a not-for-profit organization in Calgary, Alberta. This policy explains what personal information the 90 Days Stronger app (web, Android, and iOS) collects, how it is used, where it is stored, and the choices and rights you have. We comply with Alberta's Personal Information Protection Act (PIPA).

The short version: we collect only what the challenge needs, other participants see only your first name (or your chosen username) and points, we never sell your information or use it for advertising, sponsors only ever see combined community totals with no names, and you can delete your account and all of your data yourself at any time directly in the app — or by emailing admin@ashacircle.com.

1. Who can use the app

90 Days Stronger is open to adults aged 18 and older. Registration requires confirming you are at least 18, and you must verify your email address before your account becomes active. We do not knowingly collect personal information from anyone under 18; if we learn that someone under 18 has registered, we will delete the account and its data.

2. What we collect

Registration information: first and last name, a unique username you choose, email address, phone/WhatsApp number, age range, fitness level, sports interests, how you heard about us, and (optionally) your Calgary neighbourhood. Your username must be unique across participants; we store usernames to enforce this.

Email verification: when you register, we send a verification link to your email address. Your account is not activated until you confirm it. This helps ensure accounts are genuine and reachable.

Activity and fitness information: daily step counts, strength session logs (including any custom exercises you add, with their reps or duration), sport session logs, and community event RSVPs and attendance. Step counts come either from numbers you enter manually or, if you choose to connect it, from your phone's health platform (see section 3).

Social media participation: if you choose to earn social media points, an Asha Circle administrator verifies your public posts by matching the name on your social account to your registered full name or username. We record the verified post count; we do not access your private social media data.

Event photos: with the permission you give at registration, photos taken at Asha Circle events may be used on our social media and community communications. You may opt out at any event by telling a volunteer.

Group information: if you create or join a mini group, we store the group's name, its list of members, and an invite code. Group names are chosen by users, so please do not include sensitive information in a group name.

3. Health Connect and Apple Health

On Android, the app can read your daily step count from Google Health Connect. On iOS, the app can read your daily step count from Apple Health (HealthKit). This connection is optional — you can always log steps manually instead.

4. The WhatsApp community group

When you register, you agree to join the 90 Days Stronger WhatsApp group so that Asha Circle administrators can send challenge updates, reminders, and announcements to the group. This group is used for community communication only.

You may leave the WhatsApp group at any time, and doing so does not affect your participation in the challenge. WhatsApp is operated by a third party; your use of WhatsApp is also governed by WhatsApp's own privacy policy.

6. Community events and points

For a community event you create to earn points, the event must take place, have at least 3 RSVP'd attendees, and have a group photo posted on social media within 24 hours of the event being completed. Administrator decisions on points disputes are final. These rules exist to keep the points system fair for everyone.

7. What other participants see

Other participants see your first name (or your chosen username) and your points on the leaderboard. Your email address, phone number, and last name are never visible to other participants. Event hosts see the full names of people who RSVP to their event so they can verify attendance. Only designated Asha Circle administrators can access registration and contact information, and database access is restricted by authenticated, role-based security rules.

Within a mini group, the other members of that group can see your first name and your challenge stats (points and steps) on the group's leaderboard. Your email, phone number, and last name remain hidden. Anyone who has a group's invite code can join that group. When you invite someone, the app prepares an invite link and code for you to share yourself — the app does not collect or store the contact details of people you invite.

9. Your rights, and deleting your account

You can permanently delete your account and all of your data at any time, directly within the app. Open the Log tab, scroll to the Account section, and choose Delete my account. After confirming, this permanently removes your profile, activity and step logs, RSVPs, leaderboard standing, username, and sign-in credentials. Events you created are kept for other attendees but your name is removed from them. This action cannot be undone.

10. Service providers and where data is stored

The app is built on Google Firebase (authentication, database, and hosting) and uses an email delivery provider for transactional and verification emails. These providers process data on our behalf and are not permitted to use it for their own purposes. Data is stored on Google servers that may be located outside Canada, including in the United States. Information stored outside Canada may be subject to the laws of those jurisdictions. Data is encrypted in transit.

11. How long we keep your information

Your information is kept for the duration of the challenge you registered for and the archived-leaderboard period that follows it. Within 12 months after the challenge ends, individual-level data is deleted or irreversibly de-identified, unless you have registered for a subsequent challenge or asked us to keep your account. Records of your consent are retained as long as reasonably required. You can delete your account, or request earlier deletion, at any time (section 9).

12. Not a medical program

Although one of the founders of Asha Circle Association is a licensed physician, the 90 Days Stronger program and app are community wellness initiatives only and are not medical services, healthcare services, or professional medical advice. Participation in the program does not create a physician–patient relationship between any participant and any physician involved in the creation, administration, or promotion of the app. The app does not diagnose, treat, monitor, prevent, or manage any disease, condition, or injury. Any information displayed through the app is provided solely for community engagement and fitness tracking purposes. Participants should consult their own healthcare provider before beginning any exercise or fitness program and should seek appropriate medical attention for any health concerns.

13. Assumption of risk and release

By registering for and participating in the 90 Days Stronger program, participants acknowledge that participation in physical activity, exercise, sports, walking challenges, and community events involves inherent risks, including the risk of illness, injury, disability, or death. Participants confirm that they are voluntarily participating and are solely responsible for determining whether they are physically and medically fit to participate. Participation does not create a physician–patient relationship with Asha Circle Association, its founders, volunteers, organizers, or any physician involved in the development or promotion of the program, and no medical advice, diagnosis, treatment, or monitoring is provided through the app or program. To the fullest extent permitted by law, participants release and hold harmless Asha Circle Association, its directors, officers, volunteers, organizers, sponsors, contractors, and representatives from any claims, demands, damages, losses, liabilities, costs, or expenses arising from or related to their participation in the program, except where prohibited by law or resulting from gross negligence or willful misconduct. This acknowledgment is confirmed separately during registration.

14. Changes to this policy

If we make material changes, we will update the effective date above and notify registered participants in the app or by email. Continued participation after a change takes effect means the updated policy applies.
